Terms and Conditions

Registration Refund & Cancellation Policy

1. General

By completing the registration and paying the corresponding fee, participants agree to abide by these Terms & Conditions as set by the World Health Summit Regional Meeting 2026 Secretariat, hosted by The Aga Khan University.

2. Cancellation by Participant

All cancellation requests must be submitted in writing to the WHS Regional Meeting 2026 Secretariat via the official email: registration.whsrm26@aku.edu Cancellations are considered effective on the date the written request is received.

3. Refund Policy

3.1 Refund Timeline

Refunds will be made according to the following schedule:

  • Up to 90 days before the event: 80% refund of the registration fee.
  • Between 90 and 60 days before the event: 50% refund of the registration fee.
  • Between 60 and 30 days before the event: 25% refund of the registration fee.
  • Less than 30 days before the event: No refund will be issued.
3.2 Non-Refundable Fees
  • Administrative/processing fees are non-refundable.
  • Bank charges, currency conversion fees, or transfer fees incurred during payment or refund are the responsibility of the participant.
3.3 Refund Method

Refunds will be processed via bank transfer method.  Please allow 30 working days for processing.

4. Substitutions

Participants who cannot attend may nominate a substitute attendee from the same organization at no additional cost, provided written notice is submitted at least 14 days before the event.

5. No-Show Policy

Participants who do not attend the event and do not cancel in accordance with the policy will not receive any refund.

6. Event Modification or Cancellation by Organizers

6.1 Event Modification

The organizers reserve the right to modify the programme, speakers, or venue due to circumstances beyond their control. Such modifications do not entitle participants to a refund.

6.2 Event Cancellation

In the event that the organizers cancel the meeting entirely, participants will receive a full refund of the registration fee.  The organizers are not liable for additional costs incurred by participants (travel, accommodation, etc.).

7. Force Majeure

No refunds will be issued for cancellation, delays, or modification of the event caused by circumstances beyond the organizers’ control, including but not limited to: natural disasters, public health emergencies, civil unrest, government regulations, or force majeure situations.

In such cases, the organizers may offer credit for future WHS or WHS Regional meetings at their discretion.

8. Transfer of Registration to Future Events

If the event is postponed, all registrations will be automatically transferred to the new event dates, and a refund option will be provided.

9. Acceptance of Terms

Completing the registration and submitting payment constitutes the participant’s acceptance of these Terms and Conditions.
